Checked against the VAT Act on by Timo van Deventer, Senior AI Product Specialist Word, Excel and PDF

Short answer

A receipt shows that you were paid. It gives a receipt number and the date, who paid, the amount, how they paid (cash, EFT or card), the reference, and what it was for or which invoice it pays. There's a line to sign when you're paid in cash.

What a receipt should show

The VAT Act doesn't set out what a receipt must show; that is for tax invoices. These details make a receipt clear proof of what was paid. If you're registered for VAT, your client still needs your tax invoice to claim the VAT back.

  • Your business name and contact details
  • A receipt number of its own
  • The date you were paid
  • Who paid you
  • The amount paid, in rand
  • How they paid: cash, EFT or card
  • The payment reference
  • What it was for, or which invoice it pays
  • Any balance still owing
  • Your signature, for cash payments

Receipt questions

What is the correct format for a receipt of payment?
Your business name at the top, then a receipt number and the date, who paid, the amount, how they paid, the reference and what it was for. Add the invoice number if it pays an invoice, and any balance still owing.
How do I write a receipt for a payment?
Download this template or use the receipt maker. Fill in the receipt number, the date you were paid, who paid, the amount, how they paid and what for. For a cash payment, sign it. Give your client a copy and keep one.
Can I write my own receipts?
Yes. A receipt is your own record that you were paid, so you can make it yourself, as long as it is true. Issue one only for money you have actually received.
Is a receipt the same as a tax invoice?
No. A receipt shows that you were paid. A tax invoice is the document a VAT-registered business issues for the supply, with the details section 20 of the VAT Act lists, and your client needs it to claim the VAT back.
Does Word have a receipt template?
This one opens in Word, and there are Excel and PDF versions too. The Excel version works out the balance still owing for you.
