Privacy policy

Sources checked on

In short: when you join the waitlist or send a form on this website, we collect your cellphone number or email address, and a few details about how you found us, to contact you about Kwalify. Analytics and ad tools only run if you accept cookies. You can ask to see, correct or delete your information at any time.

This policy covers this website (kwalify.co.za), its free tools and its forms; our terms of use cover how you may use them. It follows the Protection of Personal Information Act 4 of 2013 (POPIA).

Who we are

Kwalify is a product of NCC Recover (Pty) Ltd (registration number 2023/635968/07), the responsible party: we decide why and how your personal information is used. Our address is Unit 156 Riverglades Estate, 67 Juweel Street, Jukskei Park, Gauteng, 2188.

Our Information Officer is Timo van Deventer. Contact them at [email protected].

What we collect

From the sign-up and contact forms, which you fill in yourself:

  • your cellphone number, or your email address (and your cellphone number if you tick the WhatsApp box);
  • if you answer the optional second question: your name, your business name and what you’d like to automate;
  • if you use “Suggest a tool”: what you’d like us to build;
  • the page you sent the form from, which form it was (and which tool, on a tool page), the page that linked you to us, and any campaign tags in the link you arrived on (such as utm_source).

Only if you accept cookies: the ad click ID from the link you arrived on (from Google, Meta or LinkedIn) and Meta’s browser ID, sent with your form. When you send a form, our server also passes your IP address and browser type to Meta, with your email address and phone number scrambled (hashed), as described under Where it goes.

We don’t collect what you type into our free tools. Invoices, quotes, payslips, signatures and logos stay in your browser on your device. See Cookies and what we keep on your device.

We collect this information from you directly. We don’t get it from anyone else.

Why we use it

  • To add you to the Kwalify waitlist and contact you about Kwalify on WhatsApp or by email, as the form says.
  • To answer the second question or a tool suggestion you sent us.
  • To see which pages, tools and ads bring people to Kwalify. This only happens if you accept cookies.

We use your information because you gave it to us for these purposes (POPIA section 11(1)(a)). No law requires us to collect it.

Do you have to give it?

No, you don’t have to give us your details: giving them is voluntary. Without a cellphone number or email address we can’t add you to the waitlist or reply to you. The free tools and templates work without giving us anything.

Where it goes

  • Kwalify’s own systems, hosted in South Africa on Rackzar and on Amazon Web Services in Cape Town (af-south-1). Your form is sent there as soon as you submit it.
  • Cloudflare, which delivers this website and runs our forms on its network, handles your form and your IP address on the way to our systems.
  • Only if you accept cookies: Google, Meta and LinkedIn, to measure our ads. Meta and LinkedIn get your email address and phone number only in scrambled (hashed) form, and Google gets the same scrambled details with the sign-up event. These companies are based outside South Africa. We send them this information because you consented to it (POPIA section 72(1)(b)). If you choose Only necessary, nothing goes to them.

How long we keep it

We keep your sign-up details until you ask us to delete them, or 24 months after our last contact with you, whichever comes first.

Your rights

You can ask us, free of charge, whether we hold personal information about you, and for a copy of it, including who has had access to it (section 23). We’ll ask you to prove who you are first.

You can ask us to correct or delete information that is wrong, out of date, incomplete or that we shouldn’t have, or that we may no longer keep (section 24). We’ll tell you what we did.

You can withdraw your consent at any time. That stops our use of your information from then on, but doesn’t affect what we did before (section 11(2)(b)). You can also object to being contacted about Kwalify at any time (section 11(3)). We then stop.

To do any of this, email [email protected]. To change your cookie choice, use Cookie settings at the bottom of any page.

Complaints

If you’re unhappy with how we handle your information, please tell us first at [email protected]. You can also complain to the Information Regulator (South Africa):

  • email: [email protected]
  • phone: 010 023 5200
  • address: Woodmead North Office Park, 54 Maxwell Drive, Woodmead, Johannesburg, 2191

Cookies and what we keep on your device

When you first visit, we ask whether you accept analytics and ad cookies. You can change your choice at any time with Cookie settings at the bottom of every page. We keep your choice in your browser’s local storage on this device.

Always on

  • Your cookie choice, in your browser’s local storage, so we don’t ask on every page.
  • What you type into our free tools, such as an invoice, a quote, a payslip or your signature style, and a logo if you add one. It stays in your browser’s local storage on this device so it’s there when you come back. It isn’t sent to us.
  • A sign-up cookie (kw_lead) for one day, only when you send our sign-up form with JavaScript turned off, so the optional second question on the next page belongs to the same sign-up.

These are needed for the site and the tools to work, so they don’t ask for consent.

Only if you accept

  • Google Analytics 4, to count visits and see which pages and tools are used.
  • The Meta Pixel, the Google Ads tag and the LinkedIn Insight Tag, to measure our ads and show them to people who visited the site.

These load through Cloudflare Zaraz and set their own cookies. If you choose Only necessary, none of them load.

If you accept and then send our sign-up form, we also:

  • send the ad click IDs from the link you arrived on (from Google, Meta or LinkedIn) with your sign-up, so we can tell which ad brought you;
  • tell Meta and LinkedIn that a sign-up happened, with your email address and phone number scrambled (hashed with SHA-256) so they can match it to an ad without receiving the address or number itself;
  • send the same scrambled email address and phone number to Google with the sign-up event, to measure Google Ads.

If you choose Only necessary, your sign-up reaches us without any of this.
