Tenant screening without the paperwork chase

Kwalify takes tenant applications on WhatsApp. It collects the ID, payslips and bank statements, reads the figures if you switch that on, and applies your own affordability rules, such as a minimum income. Anything that fails goes to a person: Kwalify never declines a tenant by itself. Then the lease is signed and the deposit paid into your own account.

How tenant screening works in Kwalify

Asks

The applicant answers your questions one at a time in a WhatsApp chat, in English or Afrikaans. There is no app to download.

Collects

ID, payslips, up to 6 bank statement files and a proof of address, sent in the chat or by an upload link.

Reads and checks

With your opt-in, Kwalify reads the figures off payslips and bank statements. Code does the sums, and every figure shows the quote and page it came from.

Applies your rules

Your affordability rules decide pass or refer. A failed rule, or a flag on a statement, goes to a person on your team. A person makes every decline.

Chases

Reminders on WhatsApp, SMS or email until each document is in, within quiet hours: at most 3 an hour and 6 a day.

Signs and takes the deposit

The lease is signed on the phone with a one-time code, initialled on every page. Then a payment link from your own Paystack, Yoco or PayFast account takes the deposit, and the tenant gets a receipt.

See one application end to end.

Affordability, on your own rules

You set the rules, such as a minimum income against the rent. Kwalify applies them to every application the same way, and checks each bank statement for signs that something is off:

  • The balances on each statement reconcile
  • The salary on the statement matches the payslip
  • Names and ID numbers match across documents
  • The statement covers the period you ask for
  • No signs of an edited PDF or hidden text

Any flag goes to a person. Kwalify approves automatically only if you switch that on, and only when an application passes every rule with no flags.

The lease and the deposit

Once you approve, the tenant signs the lease on their phone with a one-time code, and you get a sealed PDF with an audit trail of who signed and when. The deposit is paid through your own payment provider, so the money goes straight to you: Kwalify never holds it. See getting paid.

The ECTA does not make a lease of land for more than 20 years valid (Schedule 2). Check with an attorney before signing one of those electronically. More on electronic signatures.

What it costs

Tenant screening is on the Flows plan: R1 950 a month for 100 completed applications, then R15 each, with unlimited users. Setup is once-off, from R7 500.

Questions people ask

How does Kwalify check affordability?
With your opt-in, it reads the figures from payslips and up to 6 bank statement files. Code does the sums, every figure shows the quote and page it came from, and your own rules decide pass or refer.
Does Kwalify turn tenants down automatically?
No. A person makes every decline. An application that fails a rule, or that has a flag on a statement, goes to someone on your team to decide. Approving automatically happens only if you switch it on, and only with a full pass and no flags.
Can the lease be signed on the phone?
Yes, for the leases the ECTA covers. The tenant gets the signing request on WhatsApp, SMS or email and confirms with a one-time code, and can initial every page. The ECTA does not make a lease of land for more than 20 years valid (Schedule 2): check with an attorney before signing one of those electronically.
Can a co-applicant be part of the same application?
Yes. Several people can be part of one application on the Flows plan. Each one is asked for their part and reminded until it is done, and third parties can take part by email.
